CANCELLATION AND REFUND POLICY

APU RETREATS

At APU RETREATS, we understand that travel plans may change. This Cancellation and Refund Policy outlines the terms and conditions applicable to cancellations, refunds, and related procedures for all tours, retreats, travel packages, and services offered by the Company.

By booking with APU RETREATS, the Client agrees to the terms set out in this Policy.

1. GENERAL CANCELLATION CONDITIONS

All cancellation requests must be submitted in writing through APU RETREATS’ official communication channels.

The eligibility for refunds depends on:

  • The type of service booked
  • The timing of the cancellation
  • Third-party supplier policies (hotels, transport, operators, etc.)
  • Operational costs already incurred

APU RETREATS reserves the right to apply administrative and processing fees where applicable.

2. CLIENT CANCELLATIONS

If the Client chooses to cancel their reservation, the following conditions may apply unless otherwise stated in writing at the time of booking:

  • Deposits are generally non-refundable.
  • Cancellations made close to the departure date may not be eligible for any refund.
  • Partial refunds may apply depending on recoverable costs from suppliers.

No refunds will be provided for:

  • No-shows
  • Late arrivals
  • Early departures
  • Missed tours, activities, or services
  • Failure to provide required travel documentation
  • Personal decisions or changes in travel plans
3. REFUND ELIGIBILITY

Where refunds are applicable, they will be calculated based on:

  • Non-recoverable operational costs
  • Payments already made to third-party suppliers
  • Administrative and service fees

Refunds, when approved, may be issued via the original payment method or another method determined by APU RETREATS.

Processing times for refunds may vary depending on banks or payment providers.

4. CANCELLATIONS BY APU RETREATS

APU RETREATS reserves the right to cancel, postpone, or modify any tour or service due to circumstances including but not limited to:

  • Natural disasters
  • Severe weather conditions
  • Government restrictions or legal requirements
  • Safety concerns
  • Insufficient number of participants
  • Force majeure events

In such cases, Clients may be offered:

  • A rescheduled date
  • An alternative tour or service of equal value
  • A travel credit for future use
  • A partial or full refund, depending on supplier policies and operational feasibility

APU RETREATS is not responsible for additional expenses incurred by the Client, including but not limited to flights, accommodation, transportation, visas, or personal costs.

5. THIRD-PARTY SUPPLIERS

Many services included in APU RETREATS packages are operated by third-party providers such as hotels, transportation companies, guides, and activity operators.

Each supplier may apply their own cancellation and refund policies.

In such cases, the supplier’s terms may prevail over APU RETREATS’ standard policy.

6. MODIFICATIONS AND RESCHEDULING

Requests to reschedule or modify a booking are subject to:

  • Availability
  • Price adjustments
  • Supplier conditions
  • Administrative fees

In some cases, rescheduling may be treated as a cancellation of the original booking and subject to applicable cancellation terms.

7. FORCE MAJEURE

APU RETREATS shall not be held liable for cancellations, delays, or service interruptions caused by events beyond its reasonable control, including:

  • Natural disasters
  • Pandemics or health emergencies
  • Political unrest or civil disturbances
  • Strikes or labor disputes
  • Government actions or travel restrictions
  • Transportation failures
  • Extreme weather conditions

In such situations, refunds or credits will be determined based on supplier policies and operational limitations.

8. REFUND PROCESSING

Approved refunds will be processed within a reasonable timeframe, depending on:

  • Payment method used
  • Bank or financial institution processing times
  • International transfer delays (if applicable)

Clients are responsible for any bank charges or currency conversion fees that may apply.

9. DISPUTES AND CLAIMS

Any disputes regarding cancellations or refunds should be submitted in writing to APU RETREATS.

The Company will review each case individually and seek a fair resolution based on this Policy and applicable supplier terms.

10. ACCEPTANCE OF POLICY

By making a reservation or payment with APU RETREATS, the Client acknowledges that they:

  • Have read and understood this Cancellation and Refund Policy
  • Accept the terms and limitations described herein
  • Agree that certain payments may be non-refundable
