ADVANCE PAYMENT POLICY

APU RETREATS

At APU RETREATS, advance payments are required to secure reservations for tours, retreats, travel packages, transportation, accommodations, activities, and related tourism services. This Advance Payment Policy explains the conditions applicable to deposits, partial payments, final balances, and payment obligations. By making a reservation with APU RETREATS, the Client agrees to the terms outlined in this Policy.

1. RESERVATION CONFIRMATION

A reservation will only be considered confirmed once:

  • The required advance payment or deposit has been received by APU RETREATS.
  • The Client receives written confirmation from APU RETREATS.

Until confirmation is issued, availability and pricing are not guaranteed.

2. REQUIRED ADVANCE PAYMENT

Certain services offered by APU RETREATS require an advance payment in order to:

  • Reserve accommodations
  • Secure transportation services
  • Confirm tour operations
  • Book third-party suppliers
  • Guarantee participation in retreats or activities

The amount of the advance payment may vary depending on:

  • The type of service
  • The destination
  • Seasonal demand
  • Supplier requirements
  • Group size
  • Booking date

APU RETREATS will communicate the required payment amount prior to confirmation.

3. FINAL PAYMENT

The remaining balance must be paid within the timeframe indicated by APU RETREATS.

Failure to complete the final payment before the established deadline may result in:

  • Cancellation of the reservation
  • Loss of deposits already paid
  • Additional administrative charges

APU RETREATS reserves the right to release unconfirmed reservations when payment deadlines are not met.

4. NON-REFUNDABLE PAYMENTS

Unless otherwise stated in writing, advance payments and deposits are generally non-refundable because they are used to secure reservations with hotels, transportation providers, guides, operators, and other third-party suppliers.

Refunds may not apply in cases including, but not limited to:

  • Last-minute cancellations
  • No-shows
  • Early departures
  • Unused services
  • Failure to provide required documentation
  • Personal schedule changes

Certain suppliers may apply their own cancellation and refund policies.

5. PAYMENT METHODS

APU RETREATS may accept payments through approved methods including:

  • Bank transfer
  • Credit or debit card
  • Digital payment platforms
  • Online payment systems
  • Other authorized payment methods

Clients are responsible for any:

  • Bank fees
  • International transaction charges
  • Currency conversion costs
  • Payment processing fees

unless otherwise specified by APU RETREATS.

6. CURRENCY AND EXCHANGE RATES

All payments must be made in the currency specified by APU RETREATS.

When payments are made in another currency, exchange rates and conversion fees established by banks or payment providers may apply.

APU RETREATS is not responsible for variations in exchange rates or additional banking costs.

7. PAYMENT SECURITY

APU RETREATS takes reasonable measures to ensure the secure processing of payments and the protection of financial information.

However, Clients acknowledge that online payment systems involve inherent risks beyond the Company’s control.

8. CHANGES TO BOOKINGS

Requests for changes to confirmed reservations may be subject to:

  • Availability
  • Price adjustments
  • Supplier conditions
  • Administrative fees

Additional advance payments may be required depending on the nature of the modification.

9. FORCE MAJEURE

APU RETREATS shall not be held responsible for delays, cancellations, or financial losses resulting from events beyond its reasonable control, including:

  • Natural disasters
  • Weather conditions
  • Government restrictions
  • Strikes
  • Political unrest
  • Transportation disruptions
  • Pandemics
  • Force majeure events

In such situations, refunds, travel credits, or rescheduling options will depend on supplier policies and operational circumstances.

10. ACCEPTANCE OF POLICY

By making an advance payment or reservation with APU RETREATS, the Client confirms that they:

  • Have read and understood this Advance Payment Policy.
  • Accept the payment conditions described herein.
  • Understand the applicable refund and cancellation conditions.
